This page describes how we handle your incident records from first contact through executive handover. The process adapts to paper binders, spreadsheet exports, or mixed archives — the sequence stays the same.

05Brief & archive
- Scope and secure transfer. We confirm reporting period, zones, severity taxonomy, and confidentiality requirements. Paper logs are indexed on site or photographed under controlled lighting. Digital exports arrive via agreed secure channels.
- Index and classify. Each entry receives a working reference. We cross-check severity labels against your internal codes and flag gaps where near-miss forms skip fields operators need for later analysis.
- Draft chart panels. Severity curves, zone heat maps, and root-cause cluster charts are drawn with annotated entry pointers. Blank segments remain blank when months lack complete data.
- Review with your EHS lead. Draft panels circulate five working days before the briefing. Corrections to classification happen here — not during the executive session.
- Brief and archive. Ninety-minute presentation with Q&A, followed by delivery of the bound atlas and digital PDF. Committee questions referencing entry numbers are documented for the next cycle.
Materials you provide
- Incident and near-miss logs for the agreed period
- Severity code legend or sample completed forms
- Zone or line layout sketch when atlases include location maps
- One designated EHS contact available for clarification calls
Timeline expectations
Standard quarterly briefings require ten working days from complete record receipt. Annual atlases run six to eight weeks depending on volume. Rush requests inside ten days are accepted only when calendar capacity allows and carry a scheduling surcharge listed on our rates page.
